How ProofBridge collects, uses, and protects your information.

Privacy Policy

ProofBridge, Inc. (“ProofBridge,” “we,” “us,” or “our”) is a Delaware corporation.

1. Who This Policy Covers

ProofBridge is a platform that helps B2B companies (“Clients”) collect and use feedback from their own customers. This policy applies to two groups, and the rules differ for each.

Clients. If your company has a ProofBridge account, workspace admins and users are Clients. ProofBridge is the data controller for account information, billing details, and platform usage.

Respondents. If you were invited to complete a proof capture session by a company you do business with, you are a Respondent. That company is the data controller for that relationship. ProofBridge processes your response on its behalf, under its instructions, as described in Section 4.

If you are a Respondent with a question about your feedback, contact the company that invited you first. ProofBridge supports that company in fulfilling requests you make to them, including correction or deletion requests, as described in Section 5.

2. Information We Collect

Account and billing information (Clients). Name, email address, company name, and payment details. Payments are processed by Stripe. ProofBridge does not store your card number or full payment credentials.

Usage data. IP address, browser type, device information, pages visited, and time spent, collected through analytics cookies and similar technologies. These can be disabled through your browser settings without affecting core functionality.

Proof session data (Respondents). The text you enter during a proof capture session, and any name, role, or company you choose to provide. The Client’s intended use of your responses, such as in their marketing and sales materials, is disclosed before you begin. You choose which of your details, if any, appear with your response, including full anonymity. Those choices are stored with your response.

AI-generated drafts. A draft summary of your response, prepared for your review. You may edit it before confirming. An unconfirmed draft is not used or shared.

3. How We Use Information

Where GDPR applies, we rely on the following legal bases: contract necessity (operating a Client’s account or a proof session), legitimate interest (security and platform maintenance), and consent (Respondent participation and the AI processing described in Section 4).

We use information to:

  • Operate the platform, including preparing draft summaries of session responses for review

  • Notify Clients and Respondents about account activity, session invitations, and engagement on proof pages

  • Process payments and manage subscriptions

  • Maintain security, prevent abuse, and troubleshoot technical issues

  • Maintain and improve the platform, which does not include using proof session content to train any AI model

4. AI Processing

ProofBridge uses a third-party AI provider to analyze session responses and prepare draft summaries.

Response text sent to this provider is not used by the provider, or by ProofBridge, to train any AI model. This applies regardless of plan.

5. Your Choices as a Respondent

At the start of a session. The Client’s intended use of your responses is disclosed before you begin. You choose whether to participate, and whether to participate anonymously.

At the end of a session. After reviewing and editing the draft summary, you confirm it is accurate and choose which of your details, if any, appear with it. Nothing is submitted without this confirmation.

To change this choice, or to request correction or deletion after submitting, contact the company that invited you. They can update or remove your data directly, with ProofBridge’s support. If you are unsure who to contact, email privacy@proofbridge.io.

6. How We Share Information

We do not sell personal information. We share information with the following service providers, each bound by a data processing agreement or equivalent terms:

  • Payment processing: Stripe

  • AI text processing: A third-party AI provider

  • Email delivery: A third-party email delivery provider

  • CRM connectivity (select Clients): The Client’s own CRM system

  • Cloud hosting and infrastructure: Third-party cloud infrastructure providers

A current list of our service providers, including their names, is available on request by emailing privacy@proofbridge.io.

We may also disclose information if required by law, or in connection with a merger, acquisition, or sale of assets, in which case this policy continues to apply under the new entity.

7. Data Retention

Client account data is retained for as long as the account is active, and for a reasonable period after cancellation for legal, tax, and accounting purposes.

Respondent session data is retained for as long as the inviting Client’s account is active, and deleted within 45 days of the Client’s subscription ending, unless the Client or Respondent requests earlier deletion.

8. Data Security

Data is encrypted in transit and at rest. Access to Respondent data within a Client’s workspace is limited to that Client’s authorized users. See our Security & Privacy page for more detail.

9. Your Rights

Depending on where you live, you may have rights to access, correct, delete, or receive a copy of your personal information, and to object to or restrict certain processing.

Clients: submit requests to privacy@proofbridge.io. Respondents: submit requests to the Client who invited you first. If you cannot reach them, email privacy@proofbridge.io.

We will respond to verified requests within the timeframe required by applicable law.

10. International Data Transfers

ProofBridge is based in the United States. If you are located outside the US, your information may be transferred to and processed in the United States. Where required, we rely on appropriate safeguards, such as Standard Contractual Clauses.

11. Children’s Privacy

ProofBridge is a business tool and is not directed to individuals under 18. We do not knowingly collect personal information from children.

12. Changes to This Policy

We may update this policy. Changes will be posted here with a revised “Last updated” date. Material changes affecting Respondent data will be communicated to affected Clients.
